Last night I started in on some of these changes:

1. Requests to only be solicited once per year - Added to CRM only with a note field, not to Donations. I used a simple note field because to set up anything automatic for something fairly insignificant as this would take a lot of work.

2. Requests for thank you letters NOT to be sent. - Added to both Donations form and CRM

3. Donations in honor of someone or something. - Added to Donations form

4. Bigger note field --> Also donation form function - This is not configurable in donations form; I will need to hack the application if this is important.

5. Section to mark if someone has asked to be added to email list and planned giving. - I added a planned giving email option in CRM; however I am a little confused whether these are linked together or other.

6.Perhaps a section to note people who consistently give over a certain amount ($100?) so that we can do something special once per year like send thank you's to them, etc.?? - Later when we get to reports

7. Written requests to not sell their name. (We get a lot of these and would be good to know even if we had to sell them becauese list issues, etc) - I added an option in CRM.

Please review CRM and Donations

Romy,

Good...

Possible fields to include:

1. Requests to only be solicited once per year. --> This will entail both a simple one solicitation option (on donation form) and a method of tracking if and when that solicitation has been used up (this needs some history tracking and work) - CRM or Donation form or both? Great, this will make some people more likely to stay with CAPS  as donators as we do receive nasty notes about sending too many requests.

2. Requests for thank you letters NOT to be sent. --> I assume you mean postal mail. This can be 1) an option on the Donation form for new donors and 2) a function of the CRM administration form. Yes, no written thank you letters. So we need a way to sort them out when we send a query to Chris to do the thank you's. IF that is possible.

3. Donations in honor of someone or something. --> This is a function of the donation form, not CRM. The donation form allows for a Comment already. I can check/see if we can add another more relevant to this need or customize the Heading. Was jut thinking of a field to check off if it is in honor, but can add to notes if needed.

4. Bigger note field --> Also donation form function --> I will check/see if it is doable.

5. Section to mark if someone has asked to be added to email list and planned giving. --> Are we talking about the donation form again? We can probably do the same as eNewsletter(I'd like to receive the CAPS eNewsletter.) No, this is a field to add to the database for each person. The more info we have for each person the better. That way we can query, sort, etc if needed for a mailing or event, etc.

6.Perhaps a section to note people who consistently give over a certain amount ($100?) so that we can do something special once per year like send thank you's to them, etc.?? --> This is kind of a CRM reporting function. Great.

 7. Written requests to not sell their name. (We get a lot of these and would be good to know even if we had to sell them becauese list issues, etc) --> This has been a confusing topic/issue over the years.  I need to have a route to access each mailing list in order to work this through. Do these names get stored in the live Access database? Other? At this time there is no way to do anything other than make a short note, but cannot really take any action. If we had a way to sort those who request then we would not add them to the queries I do for mailing lists. It would make a lot of people very happy and make CAPS a little better than the rest because SO many orgs do not care and keep selling. And, a lot of people who request are not in our database so we can't do anything with them.

There are probably more, but those are what come to mind as of now, besides the usual fields.

--> At some point I will be building a function to extract data, names, choices, user requests, out of the Donation database and import it into CRM. Although linked in some cases, we need to separate Donation form and CRM functions.
