CAPS cMarket Auction Donor/Sponsor F.A.Q.

This document talks to the following topics regarding the CAPS cMarket online auction which will happen in November, 2007.

  1. Overview of becoming a donor or sponsor.
  2. Managing shipping, shipping costs of donated items (and services if applicable) will be managed, including shipping, shipping costs, etc.  

  3. Tips for donors on the registration process and also how to prepare an auction item to view on the auction website.

Overview of Being a Donor/Sponsor

CAPS cMarket Auction Home Page (public):  www.caps.cmarket.com

To become a Sponsor:

  1. Contact CAPS by emailing caps-web.org and provide the following information:

  2. ______________________________Name of sponsoring organization/business (how it will be listed)

  3. ______________________________Business address of organization

  4. ______________________________Sponsorship level, dollar amount

  5. ______________________________Name of Contact person (probably you)

  6. ______________________________Email address of  contact person

  7. ______________________________Phone number including area code of contact person 

  8. Email Bob (tech support) at support@caps-web.org, a graphic of  your logo to be displayed on the site.  It needs to be small to  fit within the cMarket space requirements of 120px x 120px maximum.  It should be in .gif, .jpg, or .png format.  If you  cannot figure out how to get the log, please point us to your website and logo and give us permission to copy and use it for the  auction, then also on the CAPS site if necessary.
  9. Checks should be made payable to: Companion Animal Protection Society

The ingredients of being a donor:

In order to be a donor and get an auction item onto the site, we will need listing information about the donor as well as specific information about the items being donated.  It is better to have the donor write out item descriptions as they know their product/service  better than us.

Donors do this: 

  1. Access the CAPS cMarket site at www.caps.cmarket.com
  2. Select the *Donate Items* link half way down the left column.  
  3. Register as a donor (need your name, email, phone, etc), then  please fill out the form.
  4. Provide a detailed description of the product/service.
  5. In order to make donations reasonable please make up donations or a donation bundle that meets $20 minimum retail.  Be specific.
  6. If a gift certificate, please note special requirements, expiration, etc.  
  7. Picture help.  Use the image upload function in the form to upload a picture of your product/service. The image should be no larger than 300x300 pixels in size and in .jpg, .gif, or .png file format.
  8. If you have problems uploading an image, please email Bob at support@caps-web.org.
  9. If you have an image on your website but don't know how to get it off your site please email to Bob both the URL of the website and a link to the page with the image. Leave no doubt.
  10. If after the fact you see a mistake email Bob and we will correct it, no problem.

Please do not send bulky items to CAPS by postal mail.  When the auction closes we will provide the name/address of winning bidders for you to send these items directly to them, thus eliminating extra handling/costs. Gift certificates and the like can be sent to:

Problems using the cMarket site?

If you have problems entering items by using the cMarket site we will assist you.  Email us (or postal mail or fax if necessary) detailed information about the auction item(s) along with pictures (electronic preferred), retail value, your contact information, location city and address if regional and if applicable, website if you have one and we will manage this.

Managing shipping, shipping costs of donated items:

CAPS is a non-profit organization operating with limited budget and staff. We ask that all donors be prepared to hold merchandise in their possession, then when an item has been successfully bid upon, we will notifiy the donor as well as bidder and provide shipping and other contact information as necessary to ship merchandise directly to the bidder, not to CAPS.

If you have offered large, bulky items, for which the costs would be prohibitive beyond a certain region or city, please note in the description that the item is only available for local delivery or pickup by the bidder if that is how it will work.  For these situations, please provide the pickup location in the product description (address, city, state).


Tips for registering and donating merchandise or services:

Registration

All merchandise will need to be submitted online through the Donate an Item link.  Of course, to donate an item you must first register as a Donor.  Once successfully registered you will be able to add one or multiple items to donate.  If for any reason you cannot register online and use the form, please email us at support@caps-web.org and we'll find a way to make it happen.

Minimum Retail Value - $20

Please donate items that meet a reasonable minimum dollar amount, $20.  If you are donating items in quantities, please make it clear that you are offering the item in a quantity of four and $20 for the batch.

Donate an Item or Service

Most of the fill-in fields should be self-explanatory; however we have a few thoughts about a few that we think need a little more detail. 

Description:

See an example at Epson PictureMate Personal Photo Lab. This is a printer that has been donated.  In this case the Donor has read this F.A.Q. page and understands that he/she will be responsible for shipping (including shipping costs) the item to the successful bidder.  

If the item were large and/or bulky and only availble locally, the Donor would add text something like the following in the Description field or in the Of Special Note field:

Phone: 800-555-1212 

Please feel free to copy/paste, paraphrase the text to suit your situation.  If you are offering an item which is only available online, perhaps a Gift Certificate or a cruise ticket/getaway package, please include this info in Of Special Note.  On the side, you may also need to email us at CAPS additional redemption details.  Yes life can be complicated.  

Category:

Select the closest category to what suits the merchandise.  We will reclassify if necessary. Do not worry.

Photos:

You can use the browse function in the Photo section to upload an image of your product or service. Although it is better for you to scale your image to a size that will fit on the auction page (300 pixels maximum height or width), if you upload an image that is larger, the upload program will convert it to the size, although it may not look as nice.  If the donation is a service you might want to use a representative image of that service, perhaps your logo.

If you have an image on your website of your product or service, you should be able to save that image/photograph to your desktop and use the browse feature to navigate to and upload the image.  If you are still unsure how to do this, please send the image to us as an email attachment along with your contact info, the item it should be associated with, etc.  Email to:
